Terms of Service
These Terms govern your access to SphereFlow, a relationship-first CRM and follow-up service. By creating an account or using the service, you agree to these Terms.
Accounts and Workspaces
You must provide accurate account information, protect your credentials, and promptly report unauthorized access. Workspace owners and administrators control membership, settings, and shared workspace data. You are responsible for the people you invite and the actions taken through your account.
Trials, Subscriptions, and Billing
- The Solo plan includes a 14-day trial without a payment card unless a different offer is shown at signup. Starting a paid subscription during the trial ends the free period and starts paid billing immediately.
- After trial, Solo is currently offered at $19 per month or $199 per year. Enterprise pricing and scope are confirmed separately.
- The standard trial supports up to 500 contacts and Solo supports up to 5,000 contacts unless a different entitlement is shown. When a workspace is at its limit, existing records remain intact but additional contacts cannot be created until capacity is available or the entitlement changes.
- Paid subscriptions renew automatically on the monthly or annual anniversary of the date paid billing begins until canceled. Stripe processes payments, receipts, invoices, and payment-method changes.
- You can cancel or manage a self-serve subscription through the billing portal. Standard cancellation takes effect at the end of the paid month or year, and paid CRM access continues until then.
- Refund requests are accepted at any time and are reviewed by SphereFlow. If immediate cancellation is approved, unused whole days in the current paid period are refunded on a prorated basis and paid CRM access ends when the refund is processed. SphereFlow may approve additional refund exceptions.
- When changing between monthly and annual billing, Stripe may apply a prorated credit or charge. Changes that increase the current commitment may take effect immediately; changes that reduce it normally take effect at the end of the current paid period.
- A genuinely past-due subscription may receive a seven-day payment-recovery window while Stripe retries payment. After that window, or after an unpaid, canceled, incomplete, paused, expired, or disputed subscription, CRM changes and AI use are disabled.
- Ending paid access does not delete workspace data. While the account remains open and SphereFlow continues operating the service, saved data remains available read-only for viewing and export, and the account can be deleted from Settings.
Your Data
You retain ownership of contact records, notes, custom fields, files, and other content you submit. You grant SphereFlow the limited rights needed to host, process, back up, transmit, and display that data to provide and secure the service. You represent that you have a lawful basis to store and use personal information about your contacts.
AI-Assisted Features
AI features can organize notes and suggest profile updates or follow-up actions. Suggestions may be incomplete or wrong and require your review. Do not rely on SphereFlow for legal, medical, financial, fair-housing, employment, or other regulated decisions. Usage limits may vary by plan and trial status.
Acceptable Use
You may not use SphereFlow to send unlawful spam, harass or discriminate, upload data you are not permitted to process, attempt unauthorized access, reverse engineer protected service components, evade quotas, distribute malware, or disrupt the service. Automated outreach remains your responsibility, including consent, opt-out, telemarketing, and industry-specific requirements.
Service Changes and Availability
We may improve, add, remove, or limit features and may suspend the service for maintenance, security, legal, or operational reasons. Unless a separate enterprise agreement says otherwise, SphereFlow is provided without a service-level commitment.
Termination, Export, and Deletion
You can export workspace data and request account deletion from Settings, including after paid access ends. Account deletion is permanent and may remove a personal workspace and stored contact photos. Data in a shared workspace may remain after a member leaves. We may retain limited billing, security, and legal records as required or permitted by law.
Disclaimers and Liability
To the fullest extent permitted by law, the service is provided “as is” and “as available,” without implied warranties. SphereFlow is not responsible for decisions, outreach, or regulated activities based on your data or AI suggestions. To the fullest extent permitted by law, aggregate liability arising from the service will not exceed the amount you paid for the service during the 12 months before the claim.
Enterprise Terms
A signed order form, data processing agreement, or enterprise agreement may add or replace terms for a specific workspace. If there is a conflict, that signed agreement controls for the covered service.
